Information processed by ADP
Comments are collected in the tulokas.tulokas@sak.fi e-mail account. The e-mail account is accessed by an authorised staff member of SAK, who responds to comments and enquiries. If the staff member forwards the comment to another SAK staff member, then the former staff member ensures that the latter staff member deletes the comment immediately after responding to it.
Comments are retained in the tulokas.tulokas@sak.fi e-mail account for two months, and are then transferred to the SAK M-Files document management system. The system is only accessible to SAK organisation department and data administration staff.
The comments are deleted from the M-Files system after five years have elapsed. This time limit is based on the fact that comments may be used anonymously for generating statistics over this period and their content may be used for internal purposes if it reflects recurrent situations such as enquiries in a particular industry.
